- Notes:
- The completed application form should be submitted with all necessary information to the Campus Development and Management Office, which require 7 working days for processing prior to the event
- Cancellation of booking must be made in writing and submitted to the HSMC at least 5 working days before the date of event.
- Should any colleagues of your Department/Offices wish to request for activation of IDD services, he/she can forward such request, with endorsement by Head of Department/Office to the Campus Development and Management Office (by email: cdmo@hsu.edu.hk) for further handling.
- For authorized IDD users, please record your usage every month with this IDD Record Form (Staff Use). Note: Filled forms should be sent to cdmo@hsu.edu.hk at the beginning of each month.
- How to use IDD:
- (a) Dial 9 (same as making external calls) + 0080 Country code Area code Telephone number
- (b) Record the date when the IDD call was made, dialled number, receiver’s name, institution, Country and official purpose of the call in the form attached (Annex).
- (c) Forward the completed form to the Campus Development and Management Office (CDMO) at the end of every month for payment arrangements.
- How to use IDD:
- For departments that requests for massive photocopy, please kindly refer to the Photocopy request form (Staff use). Note: Photocopy service is available during office hours from Monday to Friday (except Public Holidays).
- Lost and Found:
- Office Hours — If you lost or find anything, please contact our Helpdesk Office at M246, 2/F, Block M, or by Tel: 3963 5100, or by cdmo@hsu.edu.hk.
- Non-office Hours — If you lost or find anything, please contact our Security Control Centre at 3/F, Block M, or by Tel: 3963 5166. You may also approach our security guard posts at G/F lobbies of S H HO Academic Building (A) or Lee Shau Kee Complex (B).
- For students who lost your items, please leave us your Student ID as well as mobile number, we shall notify you by email / telephone for collection if your items being found.
Housekeeping supporting including cleaning, removal, landscape and logistic support
- For mail delivery service, please kindly refer to the Mail Delivery Service Application Form (Staff Use). Note: Please kindly fill-in the Chinese Address of the addressee. Please submit the documents to Room M246 before 5:00 p.m., and we shall begin delivery at about 2:00 p.m. of the next working day, Monday to Friday (except Public Holidays).
- For letter postage, please kindly refer to the Postage Form (Staff Use). All Departments are welcome to nominate their Executive Assistant or Executive Officer grade staff as the authorized person(s), so that no approval by Department Head is necessary on the Postage Form.
- Notes:
- Mail shall be sent out at 11:00 a.m. every day, Monday to Friday (except Public Holidays).
- For mass mailing services (i.e. normal letters at or above 50 pcs, or registered letters at or above 5 pcs), please fill-in the application form of Hong Kong Post, and to process at Shatin Central Post Office.

Policy Guidelines and Procedures for College Vehicle Booking
(Effective from 1 June 2018)

President:
a) Monday to Friday (Except Public Holidays) 09:00 to 12:30, 13:30 to 17:30, and

Environment and Green
Energy Saving measures by CDMO
- All lights and air-conditioning inside Classrooms are turned off during non-opening hours;
- Suspension of some lifts within the buildings during non-opening hours or college holidays;
- Replace T8 florescent lamps with T5 lamps;
- LEDs are being applied for some outdoor lamps;
- Partial lights at common area being turned off during non-opening hours or college holidays;
- Regular inspection and cleaning of air-conditioning systems to ensure optimal efficiency;
- the central air-conditioning system for S H HO Academic Building (A), Lee Shau Kee Complex (B), LEE Quo Wei Academic Building (D) is now being set to an economy mode for energy saving purpose; and
- During summer, windows blinds facing the west are being lowered when applicable.
- At S H HO Academic Building (A), some of the decorative lights at the central staircase of S H HO Academic Building (A) are being turned off
- Note: When there are college functions or scheduled visits to the HSU, these facilities will be resumed normal service by CDMO accordingly.

Acceptable papers to be recycled
- White and color papers
- Copy paper
- Brochures, magazines and catalogs without glues or staples
- Posters (NO plastic laminated posters)
- Some envelopes (envelopes with plastic see-through film cannot be recycled)
- Papers with personal details or confidential information should be torn / cut / shredded into pieces before recycling
Please DO NOT recycle
- Ream wrap – vapor barrier paper (if it is coated with a plastic film)
- Glue bound books, catalogs or magazines
- Particle (of fiber board) paper (such as soft drink boxes)
- Photos or photographic paper (those with plastic films)
- Paper cups, plates or food/candy wrappers
- Food scraps
- Napkins, towels or tissue paper
- Cardboard – it should be recycled separately
